Wales Air Ambulance Challenge Event Terms and Conditions
The Principality Cardiff Half Marathon 2026, October 2026, Cardiff, Wales.
By submitting an application to participate in the Cardiff Half Marathon 2026 (the “Event”) in support of Wales Air Ambulance, I acknowledge that I have read, understood and agree to be bound by the following terms and conditions.
Entry and Participation Requirements
- I acknowledge that participation in the Event requires registration with Run 4 Wales (the “Event Organiser”). Should I fail to complete the Event Organiser’s registration process within any specified timeframe, I may be excluded from participating in the Event.
- I recognise that this Event is administered by the Event Organiser, who maintains sole responsibility for the Event’s management and operation, including all health and safety protocols. I agree to review and comply with the Event Organiser’s Terms and Conditions and adhere to all Event-specific regulations they establish.
- I confirm that I will be 18 years of age or older on the Event date.
- I agree to pay a non-refundable registration fee of £10.00 to confirm my participation. I understand that my Event place cannot be transferred, sold, exchanged, or used by any other individual.
- I understand that Wales Air Ambulance;
– maintains the discretion to decline my application for a charity place in the Event, given that applications typically exceed available places. Wales Air Ambulance is not required to provide reasons for any declined application; and
– retains the right to revoke my charity place in the Event under exceptional circumstances, including if my actions damage or potentially damage Wales Air Ambulance’s reputation or if I breach these terms and conditions. - I will notify the Wales Air Ambulance Fundraising Team immediately via fundraising@walesairambulance.com if I become unable to participate in the Event. Upon acknowledgment of my withdrawal by Wales Air Ambulance, I will not be obligated to raise additional sponsorship funds.
Fundraising Commitment
- I commit to raising a minimum of £250 for Wales Air Ambulance, excluding Gift Aid contributions and the Registration Fee (the “Minimum Fundraising Commitment”) through my Event participation. I understand this Event aims to raise funds significantly above the Minimum Fundraising Commitment wherever possible.
- I commit to raising and remitting at least £125 (being 50% of the Minimum Fundraising Commitment) to Wales Air Ambulance by six weeks prior to the Event date (the “Interim Fundraising Milestone”). This interim commitment ensures cost coverage in advance of the Event and allows Wales Air Ambulance sufficient time to allocate charity places to alternative participants if necessary.
- I acknowledge that the full £250 sum must be remitted to Wales Air Ambulance by the fundraising deadline, which occurs six weeks following the Event date (the “Fundraising Deadline”).
- The Wales Air Ambulance Fundraising Team may request a fundraising strategy from me at any point following my Event registration.
- Should I determine that achieving the Minimum Fundraising Commitment may not be possible, I will immediately contact the Wales Air Ambulance Fundraising Team at fundraising@walesairambulance.com to receive fundraising support and guidance.
Fundraising Guidelines
- I will employ only legitimate methods to raise funds for Wales Air Ambulance and will refrain from any actions that could damage or potentially damage Wales Air Ambulance’s reputation.
- I will adhere to all fundraising guidance provided by Wales Air Ambulance and comply with the Fundraising Regulator’s Code of Fundraising Practice available at their official website.
- I will clearly communicate to all supporters that I am raising funds ‘in aid of’ Wales Air Ambulance.
- I will collect donations for Wales Air Ambulance exclusively in connection with this Event.
- I understand that prior written authorisation must be obtained from Wales Air Ambulance by contacting fundraising@walesairambulance.com before using Wales Air Ambulance’s branding, or logos.
- My fundraising activities will exclude:
- Conducting door-to-door or unsolicited collections.
- Collecting funds in public spaces without first securing appropriate local authority licensing, and any other required legal permissions per the Fundraising Regulator’s Code of Fundraising Practice.
- Collecting funds on private premises (including retail establishments, hospitality venues, etc.) without first obtaining consent from the property owner.
- Organising any raffle or lottery without first consulting Wales Air Ambulance and following any prescribed procedures.
- I agree that Gift Aid payments will not count toward the fundraising commitment and will instead be considered additional funds raised beyond the Minimum Fundraising Commitment.
- Wales Air Ambulance may revoke my authorisation to fundraise on their behalf at any time by providing written notice to the email or postal address I supplied during registration.
Donations and Payment Procedures
- All funds raised for Wales Air Ambulance are held in trust for Wales Air Ambulance, and I acknowledge my legal obligation to ensure all Event-related funds are transferred to Wales Air Ambulance.
- I will remit all Event-related funds through one of the following methods:
- Via an online donation platform (such as JustGiving or Give A Little).
- By cheque, CAF vouchers, or Charities Trust vouchers made payable to ‘Wales Air Ambulance’ and posted to: Wales Air Ambulance Fundraising Team, Ty Elusen, Ffordd Angel, Llanelli Gate, Dafen Llanelli, SA14 8LQ.
- By credit or debit card donations made by contacting the Wales Air Ambulance Fundraising Team directly at 0300 0152 999.
- I understand that if the Minimum Fundraising Commitment remains unpaid by the Fundraising Deadline, I may be required to cover any deficit from personal funds within one month of the Fundraising deadline or through a written installment agreement with Wales Air Ambulance.
- I acknowledge that should I withdraw from the Event for any reason, all funds raised will be non-refundable and treated as a donation to Wales Air Ambulance, payable according to clause 22.
- I will exclusively use sponsorship forms provided by Wales Air Ambulance. Should I wish to use alternative sponsorship forms, I will obtain prior written consent from Wales Air Ambulance.
- I will clearly communicate during fundraising that donations are unconditional and that funds will not be returned if the Event is cancelled or if I do not complete the Event.
- I will submit my completed sponsorship forms containing sponsor names, addresses, and donation amounts to Wales Air Ambulance no later than 4 weeks post-Event. This enables Wales Air Ambulance to process Gift Aid on eligible donations.
Data Protection
- I understand that Wales Air Ambulance will utilise the information I provide during Event registration for promoting and administering my charity place in the Event. Wales Air Ambulance may also contact me regarding my fundraising progress.
- I authorise Wales Air Ambulance to share my personal information with the Event Organiser for Event organisation, promotion, and administration purposes.
- The personal information I provide during Event registration may be used to send communications consistent with the consent I provide during registration.
- All personal data maintained by Wales Air Ambulance will be processed in accordance with applicable privacy legislation and Wales Air Ambulance’s Privacy Policy.
Health, Safety and Physical Fitness
- I understand that the Event presents physical challenges and injury risks. I will adequately prepare for the Event’s physical demands and obtain medical confirmation of my fitness to participate. I confirm that I will not participate if I am not, or feel I am not, physically capable of safe participation, and I acknowledge my responsibility to seek appropriate medical advice when necessary.
Liability and Risk
- These terms do not limit any liability that cannot be legally restricted, including death or personal injury resulting from negligence.
- Subject to clause 32, I understand that any activities and/or events I organise to raise funds for Wales Air Ambulance are my sole responsibility, including all associated costs and liability. Wales Air Ambulance bears no liability for any events and/or activities I organise. Wales Air Ambulance shall not be liable for any injury, damage, or loss to me, my property, or third parties resulting from fundraising activities and/or events I organise.
- Subject to clause 32, I understand that I participate in the Event at my own risk and will not hold Wales Air Ambulance or associated parties responsible for any accident, injury, illness, property damage, or losses resulting from my Event participation.
